GuestWire Technologies LLC ("GuestWire," "we," "us," "our") respects your privacy and is committed to being transparent about how information is collected, used, and shared. This Privacy Policy describes the practices of GuestWire Technologies LLC, a North Carolina limited liability company.
This policy applies to the GuestWire Technologies corporate website (guestwire.com and guestwiretechnologies.com), the customer authentication areas of our platforms, and — except where a product-specific privacy notice applies — the GuestWire product family, including CORE™, GuestWire Vacation, GuestWire Realty, and NeighborWire.
Where a GuestWire product operates under its own domain, account flows, or integrations, additional product-specific disclosures may apply and will be presented within that product. This policy does not apply to third-party websites or services that we may link to.
Information We Collect
We collect information you provide directly, information generated as you use our websites and platforms, and information provided by businesses that subscribe to GuestWire products. The categories below describe these sources in general terms.
Information you provide directly
When you contact us, request information, or fill out forms on the corporate website, you may provide your name, email address, organization name, message content, and the topic of your inquiry. Authentication actions associated with customer accounts process your email address, password (verified by our identity provider and not stored in plaintext by GuestWire), one-time verification codes, and password-reset tokens.
Account and contact information
When you create or maintain a GuestWire account, we process your email address, full name, role, and any organization information you provide. New users are added by an administrator invitation flow that uses your email address.
Business and operational information processed through GuestWire products
Through product platforms such as CORE™, GuestWire Vacation, GuestWire Realty, and NeighborWire, customer businesses may submit and manage property listings, reservation records, guest contact details, messaging content, operational notes, and similar records needed to deliver the service. GuestWire processes this information on behalf of, and under the direction of, the subscribing business, which generally acts as the controller of that data. GuestWire does not independently decide the purposes for which customer business data is used.
Device, browser, IP address, usage, and diagnostic information
We automatically collect technical and usage information such as IP address, browser type and version, device type, operating system, pages or screens you access, referring URLs, approximate interaction times, and similar diagnostic data. This information is generated by standard web server logs, our application framework, and operational telemetry used to keep the service available and secure.
Authentication and security logs
We maintain authentication, security, and audit logs necessary to operate the service, investigate incidents, and protect accounts. These logs may include sign-in events, security alerts, error summaries, and related operational metadata.
How We Use Information
We use the information we collect to:
- operate, maintain, and improve our websites, applications, and product platforms;
- create and administer accounts and authenticate users;
- respond to inquiries, support requests, billing questions, and partnership or sales conversations;
- communicate with you about product updates, security advisories, account activity, and responses to your requests;
- operate AI-assisted features, generate content and summaries, and provide intelligent functionality, as described in the Artificial Intelligence Features section below;
- connect to third-party integrations and service providers you or your organization configure, as described below;
- investigate, prevent, and respond to security incidents, abuse, fraud, and potential policy violations; and
- comply with legal obligations and protect the rights, safety, and property of GuestWire, our customers, and others.
Artificial Intelligence Features
Some GuestWire products and internal services use AI features, such as generated text, summaries, images, audio narration, and structure extraction from files. When you submit information to AI-assisted features, that information is processed by GuestWire and by AI service providers that we use to deliver the feature. You should avoid submitting information you would not want processed by a third-party AI provider, including sensitive personal data or confidential material.
AI-generated outputs are provided for assistance only and may be incomplete, inaccurate, or contain errors. You are responsible for reviewing and validating AI-generated content before relying on or sharing it. See AI-Generated Output Limitations in our Terms of Service for further detail.
Third-Party Integrations and Service Providers
GuestWire products may connect to third-party services that you or your organization configure, such as property management systems, channel managers, smart access devices, calendar platforms, payment processors, and messaging providers. When you connect an integration, data may be exchanged with that third party under the third party's own privacy terms. Customer administrators control which integrations are enabled and what data is shared.
We use service providers to host infrastructure, operate authentication, deliver email and notifications, process files, run AI features, and provide similar backend capabilities. These providers process limited information necessary to perform these services and are subject to contractual confidentiality and security expectations. Payment Processing
GuestWire does not process consumer payments directly on the corporate website at the time of this policy. Where product platforms support reservation charges, deposits, or other transactions, payment information is handled by an integrated payment processor acting as the merchant of record under that processor's own terms, with GuestWire receiving only transaction metadata required to operate the service. We do not store full card details.
Data Retention
We retain information only as long as necessary to provide our services, comply with legal obligations, resolve disputes, and enforce our agreements. Different categories of data are kept for different, purpose-appropriate periods based on the type of data, why we collected it, and applicable legal requirements. We do not adopt a single fixed retention period for all data; instead, retention is reviewed periodically and adjusted to remain proportionate to its purpose.
Account and authentication data is retained while your account is active and for a reasonable period afterward to comply with legal obligations and protect against abuse. Customer business data is retained for the duration of the applicable subscription and in accordance with the contract terms, after which it may be deleted or de-identified unless retention is required by law.
Security Practices
We use administrative, technical, and organizational safeguards intended to protect information, including access controls, tenant isolation, secure authentication, and operational monitoring. No method of transmission over the internet, or method of electronic storage, is fully secure, however, so we cannot and do not guarantee absolute security. Legal and Compliance Disclosures
We may disclose information to government, regulatory, or law enforcement authorities where required by law, court order, or valid legal process, or when we believe in good faith that disclosure is necessary to protect the rights, safety, or property of GuestWire, our customers, or others. Where permitted, we will work to limit disclosures to what is required.
Your Privacy Choices and Requests
Depending on where you live, you may have rights to access, correct, delete, or restrict the use of your personal information, object to certain processing, or withdraw consent where applicable. Subject to legal exceptions, individuals in the United States and elsewhere may contact us to exercise these rights; product administrators can manage user access at the account level.

- to request deletion of your personal information, subject to legal retention requirements;
- to object to or restrict certain processing; and
- to withdraw consent to optional processing where consent was the basis for that processing.

Children's Privacy
Our websites and platforms are intended for use by businesses and authorized representatives who are at least 18 years of age. We do not knowingly collect personal information from children under 16 for marketing or general registration purposes. If you believe a child has provided personal information to us, contact us so we can investigate and delete it where appropriate.
U.S. Processing and International Considerations
GuestWire is a U.S.-based company and processes information primarily in the United States. If you access our services from outside the U.S., your information will be transferred to and processed in the U.S., where privacy laws may differ from those in your jurisdiction. By using our services, you consent to these transfers where required by law. We take steps to ensure that any international transfers are protected by appropriate safeguards, such as contractual commitments approved by our service providers.
Product-Specific Data Notes
GuestWire products are operated by GuestWire Technologies but may have different data practices depending on their purpose. The notes below are summaries; each product may provide additional disclosures within its own interface.
- GuestWire Technologies corporate website — collects contact inquiries, account information for users with access, and standard technical and usage data.
- CORE™ — the technology foundation shared across the GuestWire family; data handled by CORE™ is governed by the applicable product's notices.
- GuestWire Vacation — processes property, reservation, guest, and operations data on behalf of vacation rental hosts and managers.
- NeighborWire — processes community, business directory, and neighborhood interaction data created by residents, businesses, and organizations using that platform.
- GuestWire Realty — processes real estate listing, lead, and contact data on behalf of real-estate professionals subscribing to that service.
These summaries do not imply that every product collects or processes the same categories of information.
Policy Updates
We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. When we make material changes, we will update the "Last Updated" date at the top of this page and, where appropriate, provide additional notice within our platforms or by direct communication.
